Grafton Public Library Board
of Trustees Meeting

Public Comment:
Appreciative note with check
from the Windham Foundation was read aloud.
Approve minutes of last
meeting: Approved.
Treasurer’s Report: Financial
report is up to date. The budgeted goal for the annual appeal is nearly met.
Librarian’s Report: Both the
2024-2025 financial report and narrative report have been submitted to Town
Hall for inclusion in the Town Report. The Public Library Annual Report will be
finished by the deadline of March 2, 2026.The select board has approved our
request for increased tax support for FY27. We received the Grafton Improvement
Association grant for funds to replace two computers and one of the air
purifiers. All will be purchased soon. Michelle will be attending a training
session for the HUD grant application with the DOL on January 28, 2026. We
received the courier grant for FY26 and the funds have been deposited. Nature
and Books Discussion Group on Zoom has had three meetings so far and will continue
through April. The Banned Book Club will continue through the summer. On
January 11th, we had our first Puzzle Challenge which was a great success. Hopefully,
we can have another one in February or March.
Old Business:
We are applying for a HUD
grant to cover major building repairs. Michelle has edited the letter of
approval for the HUD grant drafted by Mary Beth on behalf of the Board, and it
was approved. Michelle will send the final version with minor edits made by the
board at the meeting to Mary Beth for review and then use it as a template
document when meeting with town administrator Morgan about the letter of support
required from the select board for the HUD grant.
New Business:
Our volunteer policy as well
as the policies for Building and Grounds Use and Equipment Use are being reviewed
and revised. Michelle shared proposed updates to the Building and Grounds Use
policy and they were discussed and further revised by the board. Michelle will
add the proposed board revisions to the draft revision of the Building and
Grounds Use policy and share for consideration at the next board meeting. Michelle was also asked to share with the
board the existing Equipment Use Policy as well as the forms that non-library
groups sign for both Building and Grounds Use and Equipment Use, so they can be
reviewed at the next board meeting as well.
