Grafton Public Library Trustees Meeting Minutes
June 16, 2016, 6:30 pm

Public Comment: No public in attendance
Bob Donald brought the meeting to order at 6:45 p.m. The
minutes of May 19 were approved.
Librarian’s Report
48 boxes of book have been donated and will be added to
those weeded from the collections for the Library book sale on Labor Day.
Additional boxes are needed to hold weeded books for the sale. David indicated
that he had some he’d drop off. If more are needed, let him know and he will
get more.
The Library will again have a booth at the Community
picnic/festival, but will not hire a group to perform this year. While they did
a fine job, there were too many other distractions for attendees and their
efforts were not as appreciated as they could have been.
The Vermont Play will not be available in Grafton this year.
They were all booked up when we responded.
Treasurer’s Report
A draft budget was submitted to the Board. The fiscal year
ends June 30th and 95% of all the funds have been expended for FY
2016. Haskell Painting has finished and been paid. The Board commented on the
nice job he did.
The library’s portion of the payroll taxes to the State of
Vermont are finally correct. The Library is still owed $200 that was overpaid,
and when the town books are audited, Michelle will ask whether these can be
refunded and how to proceed. No one else knows how or whom to contact. Michelle
does now check every payroll sent to be sure that the information submitted is
correct and that the submission from the town is correct. It seems that this
may have been an anomaly in the software used to generate the payments to the
State.
The budget for 2017 is in Draft form. Its completion will
happen once Michelle returns from vacation. Most big ticket items have been
accomplished this year, but there are a couple of things that need to be done:
Septic needs to be pumped and Tom’s Septic, the service used in the past will
be contacted to do so; the front screen door needs replacement or repair and
funds should be set aside for this.
The email for the Library is tied to the domain name and
funds will be needed for its renewal.
Building and Grounds
Ray Lisai has generously offered to replace the back windows
by the children’s section and will repair the gutters.
Haskell’s painting recommended that the Library receive an annual
power wash. He would perform the service for $125. The Board unanimously
approved this expenditure.
Jason Ballard’s estimate of $421.78 for painting the
Library’s signs was unanimously approved.
Angel Restino, assistant to the librarian, will be asked to
investigate sources to replace the signage on the bench honoring Jean
Tillbrook. The Board all agreed that brass with a sealant to protect it from
the weather would be best. The aluminum sign didn’t hold up well.
Bob will find out who maintains the church gardens so that
we can hire spring and fall weeding assistance.
Other Business
The Library Book Sale will be held on September 3.
The Volunteer Brunch was deemed a success. While on the
topic of volunteers, it seems unlikely that Marge Prouty will be able to
continue to volunteer and her loss is keenly felt.
The Confidentiality Policy that Michelle sent was also
discussed and a few minor changes need to be made, but it was tabled until the
following meeting so all Board members can have input.
The meeting adjourned at 7:20 p.m. The next meeting of the
Board will be July 21, 2016 at 6:30 p.m.
