Grafton Public Library Trustees Meeting Minutes

Bob Donald called the meeting to order at 6:00 pm.
Public comment: No
public in attendance.
The minutes of the April 25, 2017 meeting were read and
approved as ammended.
Librarian’s Report
Sarah Yarosevich has done an
excellent job weeding and cleaning up the Library gardens. On her own
initiative she contacted and solicited donations for flowers and work time from
Jaime Gregory. She has done an outstanding job and the Library grounds look
lovely. Thanks to Jamie’s work, a location for a picnic table under the trees
is now available. Thanks to all who donated time and money to make the Library
look lovely.
Michelle attended the Vermont Library Association meeting in
Killington today and gave a brief report to the Board about what transpired. Constant
Contact, a listserv company, may prove to be a good idea for the Library to
help with the electronic mailings. While Michelle paid her own funds for this,
the Board would like to her request reimbursement. It will cost the Library
some funds, but will prove worth it in the end, Michelle believes. Electronic
mailings from the Library are difficult and this should make them easier.
Launch day for Auto-Graphics VERSO, an integrated library
system, will be August 1st. The first libraries will migrate at this
time, and the system is currently being Beta tested by two Vermont libraries who will develop a manual for other libraries to follow. A
meeting regarding migration to this replacement for Library World Catalog will
be held in mid-June at Mid-State Library in Berlin. Michelle took the
opportunity to talk to the Auto-Graphics representative about migrating the Grafton Library.
Michelle has booked a balloon artist for the Community Party
this year.
Treasurer’s Report
The Board discussed where the donations for the Library’s
flowers and grounds should go. Miscellaneous Income and can be disbursed
through Building and Grounds.
Andrea and David should complete the forms for TIAA-CREF.
Their information was overlooked when they were elected to the Library Board.
The 86% of the budget has been allocated. The Library
overpaid for health care and a refund is due before the end of the fiscal year.
Building and Grounds
Michelle brought up the recent hacking of the Newfane town
telephone system with thousands of dollars of calls fraudulently made to the
Dominican Republic. Michelle wanted to be sure that the Board was aware of this
in case it should ever happen in Grafton. The Board may want to ensure that
phone hacking is covered in the town’s insurance, which is through Vermont
League of Cities and Towns.
Strategic Planning
Strategic planning was tabled until the next meeting when
Lucia Corwin will be in attendance.
Volunteer
Appreciation
The Board discussed the list of tasks that needed to be
done. Everyone selected tasks and the list is attached. If you cannot do the
task you selected, please let Deborah or Michelle know ASAP. We will have a
Board meeting prior to the event to refine, if necessary.
The next Board meeting will be on Thursday, June 15, 2017 at
6 pm.
