Grafton Public Library Trustees Meeting Minutes

October 20, 2016, 6:30 pm

Attending:  Bob Donald, Andrea Dunmire, Lucia Corwin, David Whittall, and librarian Michelle Dufort.

Public Comment: No public in attendance

Librarian’s Report

No new programs, but there was a Creepy Craft Day on Saturday, Oct. 8th.  Six children were in attendance.

As of today, 5627 books have been scanned into the Library World On-Line automation system, repaired, and/or weeded out.  Picture books remain to be finished.  The new computer is working well, but the copier settings had been changed and it was not functioning properly.  A sign has been made asking patrons not to change the settings.

Fall garden cleanup has been completed, billed and paid.  Sarah Yarosevitch, who did the job, has agreed to do so in the spring as well.  An estimate was received for planting and upkeep of the two urns located to either side of the front entrance, for next spring.  The board deemed this high and decided to look elsewhere as this is a task that needs to be delegated.

The septic has been pumped and paid for 2016.

The Library received a $75.00 donation from Brattleboro Area Hospice for the Death Café program, and $200.00 from Mountain Mind & Movement’s hooping and hiking special program Thank you!

Treasurer’s Report

The Library made the quota on the annual Book Sale and received additional donations from Bill Watson, Suzanne Welch, and relatives of the Schemm family.  Thank you!   Discussion occurred as to where best to put the funds.  Lucia Corwin suggested that they should be split between the Lucy Daniel’s Fund and the unrestricted library funds.  This was agreed to by the board.

The TIAA and Stevens Funds have continued to rebound.

Building and Grounds

The storm door on the side of the Library facing the street needs to be removed, as it is non-functioning.  Bob Donald has offered to remove it, as well as to winterize the outside water spigot.

The front door needs to have weather stripping applied for the upcoming winter.  It was suggested that Charlie Carta be called.

Andrea reported that she had spoken with Don Dougal of the Grafton Improvement Association, regarding the initiated grant to plant trees on the Kidder Hill Road side of the Library lawn.   He told her that he had cancelled the grant.  No reason was given.

Other Business

There was a question about the lack of EBook offerings from the Library.  Michelle explained that, in the current system, Overdrive, 40 libraries must share one copy of each book.

The annual appeal drive was discussed.  It was agreed that Andrea would again compose the draft letter.  Board comments would be done online and it would be finalized at the next Board meeting in November.  Discussion continued about getting the appeal letter out by Thanksgiving and earlier next year.  It will be discussed in September 2017 for the next fiscal year.

The next meeting of the Board will be November 17, 2016 at 6:00 p.m.

Respectfully submitted,

Andrea Dunmire
